Job Description

The Scholarship Cohort Coordinator works within the Office of Financial Aid and is responsible for coordinating and managing scholarship programs partnered with Colorado Mesa University. This includes managing programs like Guardian, Reisher, Denver Scholars, COSI, and more. Program management includes event planning, programming development, scholarship advising to students, annual budgeting, reporting and managing donor relations. The Scholarship Cohort Coordinator works within Academic Works (Blackbaud) software, collaborates with CMU Foundation, Admissions, academic departments, and the Scholarship Coordinator to process scholarships in an efficient and equitable manner in compliance with Federal Financial Aid regulations. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other related duties may be assigned. Scholarship Cohort Coordinator • Co-coordinates Guardian and Reisher programs in collaboration with campus resources. Ensures that campus resources are engaged and performing within program MOU guidelines, which includes scholarship advising to each student, event planning, programming development, budgeting, reporting and managing donor relations. • Coordinates and oversight of additional scholarship cohorts including but not limited to: Daniels Fund, Daniels Boundless Opportunity Fund, Denver Scholarship Foundation, COSI, Boettcher, Gear Up, and R.I.S.E • Oversees the awarding and disbursement of federal, state, institutional, and private awards for students in each cohort in accordance to policies and MOU guidelines. • Responsible for all reporting requirements for each program. • Oversight of the scholarship cohort budgets, supplementary budgets, and adhering to spending guidelines put forth by the university and each foundation. • Oversight and coordinates in selection of new students to cohorts and manages continuation of students in cohort. • Responsible for developing and maintaining retention programs, process improvements, and data analysis for cohorts. • Lead of donor relations with donor foundations with the support of CMU Foundation and Executive Team. • Responsible for coordinating program needs with campus resources and stakeholders. • Coordinate editing and auditing of MOUs with CMU stakeholders and donor foundations. • Updates and adjusts each students’ financial aid for the scholarship to ensure that the financial aid rules and regulations are intact. Financial Aid Operation Responsibilities • Continuously evaluates the effectiveness of scholarship programs, and scholarship processing. Makes recommendations for, determines best solution, and implements process improvements. • Creates statistical reports for analysis of effectiveness of scholarship processes. • Understands and has working knowledge of Federal Financial Aid rules and regulations. • Ensures compliance to all Federal Financial Aid rules and regulations are adhered to, including: Packaging, Awarding, Overawards, etc. • Utilizes resources and autonomy to find answers and research regulation questions. • Backup for processing NCAA Athletic Awards and Scholarships • Responsible for the development and maintenance of policy and procedure manuals. Retention & Student Success Responsibilities • Facilitate communication and a sense of community with students through mentoring activities conducted on the individual and group levels. • Demonstrate a high level of discretion and judgment in actively assessing and advising students from all backgrounds on key aspects of student success. • Supervise assigned Student Peer Coaches/Mentors by utilizing office guidelines, establishing work schedules and utilizing professional development/training along with other team members. • Develop partnerships with university departments such as Educational Access Services, Integrated Resources for Information and Solutions, Veterans’ Services, Career Services, Behavioral Health Services, Student Wellness Center, TRiO, the Office of Campus Safety, and the Office of Student Services to match and access appropriate resources to meet student needs and to facilitate student understanding of the university, requirements, responsibilities, processes, deadlines, and available resources. • Build rapport with and guide students in understanding the university environment by offering them assistance in learning about university-wide policies, academic best practices, majors, careers, terminology, and time management. Customer Service & Culture • Support of IRIS, CMU’s one-stop, including counseling, advising, and supporting staff and students. • Responsible for providing a high level of customer service while handling matters of significance within the Office of Financial Aid. Using independent judgement and maintaining a professional demeanor in handling routine questions, complaints and resolution of issues. • Resolves problems by clarifying the customer’s complaint; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction or adjustment; following up to ensure resolution. • Provide a quality experience with all customer service interactions. • Demonstrate ability to work independently and autonomously within job responsibilities, while also collaborating with several diverse teams. • Demonstrate ability to analyze a process and policy, make recommendations, and implement process and policy improvements. • The practice of empathy, community building, civility, recognition and exceptional customer service are key components of this position.
